1. Who we are

ArchTracks (archtracks.com) is a web application for architectural and engineering design offices. It is used to manage projects, tasks, deadlines, fees, team members and project documents. Questions about this policy: balezdrov@gmail.com.

2. Data we collect

• Account data. When you sign in with Google we receive your name, email address and Google account identifier. You may also enter a phone number and your professional specialties.
• Work data you enter. Projects, tasks, deadlines, notes, fee information and team assignments created by you and your colleagues in your organization.
• Google Drive and Gmail access (optional, organization administrators only). If an administrator connects a Google account (for the organization, or for a contractor company's own mailbox), we store the OAuth tokens needed to act on that account and the account's email address.
• Company data. Contractor companies and their clients (names, tax IDs, addresses, accountant contacts) entered by administrators and project managers, and invoice numbers, dates and payment status of project fees.
• Technical data and cookies. A session cookie that keeps you signed in, and your theme and cookie choice in your browser's local storage. Advertising cookies (Meta Pixel and Google tag) are loaded only if you click “Accept” in the cookie banner; they tell us which ads bring visitors and registrations. If you decline, nothing is loaded and the site works the same. You can change your choice at any time with the “Cookies” link at the bottom of the home page. When you arrive from an ad or another site, the sign-up link carries its source (for example “facebook/cpc/campaign”), which we store with your account to count registrations by source; this uses no cookie.

3. How we use Google user data

ArchTracks requests the following Google permissions and uses them only to provide the features you see in the application:

• Sign-in (openid, email, profile). To identify you and match you to your organization.
• Google Drive (auth/drive). When an administrator connects Drive, the application creates a shared drive and a standard folder structure for each project, shares it with the project's team members, lists the files in the project's “Documents” folder, reads those files when a user starts a document check or asks the application to read a contract, offers files from permitted folders for the project's version register, uploads periodic backup archives of the organization's data to the connected Drive, and renames files (for example “572 – Design permit.pdf”) according to the document check. The full Drive scope is required because the application must read and rename files that people upload to the project folder themselves; it does not browse files outside the project drives it manages.
• Gmail send (auth/gmail.send). To send emails from the connected account on a user's explicit action: notification emails (for example, “You were added to a project”) and, when a user clicks “Send to accounting”, an email to the company's accountant listing the invoice items of a project with the signed contract attached, or a payment-check email. Mail is never sent in bulk or automatically for marketing.
• Gmail read-only (auth/gmail.readonly), optional. If an administrator connects a company's mailbox with this permission, the application searches only for messages from the accountant email addresses entered for that company (last 60 days) and reads them, including PDF or image attachments, to extract the invoice number, invoice date and payment confirmations and enter them into the project's payment table. Other messages are not opened, copied or stored; we keep only the extracted values and the message identifier to avoid processing it twice. The application never modifies or deletes email.

4. Processing with AI

Content is sent to a third-party AI service in three cases, only when a user starts the action or, for item (c), when mailbox reading is enabled by an administrator: (a) a user clicks “Check and rename” in a project's Documents tab (described below); (b) a user clicks “Fill from contract”: the text of the project's contract is processed to extract the price, payment schedule and parties; (c) a reply from the accountant is processed to extract invoice and payment data. Below is the document-check case; the same provider, terms and limits apply to (b) and (c).

When an authorized user clicks “Check and rename” in a project's Documents tab, the content of the files in that project's “Documents” folder is sent to the third-party AI service (Google Gemini API or Anthropic Claude API, depending on the server configuration) in order to recognize the document type and extract key data (such as document number, date, owners' names and property identifiers). The result is stored in our database and shown to the people who can access that project. We use the paid API tiers of these providers, under terms that state that content sent through the API is not used to train their models. Files are processed only when a user starts a check.

Other AI features. The same providers and terms apply when a user explicitly starts any of these actions: the in-app assistant “Archi” (the question and the parts of the project the user can see), AI rendering and video (the uploaded image or Revit view and the chosen settings), the explanatory note generator (project data and, if an administrator chose a Drive folder, the text of the organization's earlier notes used as examples), the drawing check (sheet images and model data sent from Revit), filling offers and contracts, and the chat in the Revit add-in (the question, attached files and the model data needed for the answer). Generated images, notes and checks are stored on our server and, where described in the app, in the project's Google Drive. Each use is logged (who, when, which feature, credits used) for billing.

5. Limited Use

ArchTracks's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we: use Google user data only to provide and improve the user-facing features described above; do not transfer it to others except as necessary to provide those features (the AI processing described in section 4), to comply with law, or as part of a merger or sale with notice to users; do not use it for advertising; do not allow humans to read it unless you give consent, it is needed for security or support requested by you, or required by law; and do not use it to develop, improve or train generalized artificial intelligence or machine learning models.

6. Sharing

When a user enters a company tax ID (EIK), the application queries the public EU VAT Information Exchange System (VIES) with that number only, to prefill the company name and address.

We do not sell personal data. Data is visible inside the application to members of your organization according to their roles. It is processed by our hosting provider (a virtual server located in the European Union) and, for document analysis, by the AI provider described in section 4.

7. Storage, security and retention

Data is stored in a database on our server and protected by HTTPS and access controls. Organization data is kept for as long as the organization uses ArchTracks. OAuth tokens are kept until the administrator disconnects the Google account. Backups are kept for a limited time.

8. Your choices and deletion

• An administrator can disconnect Google Drive at any time in Settings; this deletes the stored tokens.
• Every user can delete their own account in My profile → Delete account. Personal data (name, email, phone, Google and Telegram links) is removed, access to organisations and Google Drive is revoked, and only an anonymised record remains in the history.
• You can revoke access for ArchTracks at myaccount.google.com/permissions.
• To access, correct or delete your personal data, or to delete an organization's data, email balezdrov@gmail.com. We will respond within 30 days.

9. Revit add-in

The ArchTracks add-in for Autodesk Revit connects to your account with a personal token stored on your computer. It sends to our server only what a user starts: quantities and schedules from the model, sheet images for a check, a view for rendering, family files uploaded to the library, and chat messages. The add-in checks our server for updates; it does not send files from your computer that you did not choose.

10. Payments

Card payments for plans and credits are handled by the payment provider shown at checkout (Stripe or Lemon Squeezy). We do not receive or store card numbers; we keep the plan, amount, date, status and the provider's reference. For bank transfers (Revolut) we keep the amount, date and payment reference.

11. Roles under GDPR, legal basis and your rights

• Processor for your organization. For the project, client and team data that an organization enters, the organization is the controller and ArchTracks acts as its processor under the data processing terms below. For account, security and billing data ArchTracks is the controller.
• Legal basis. Performance of the contract (providing the service), legitimate interest (security, preventing abuse, backups) and legal obligations (accounting records for payments).
• Your rights. Access, correction, deletion, restriction, objection and data portability (an export of your organization's data on request). You can also lodge a complaint with the Bulgarian Commission for Personal Data Protection (cpdp.bg) or the authority in your EU country.

12. Data processing terms (for organizations)

By using ArchTracks for its projects, an organization (the controller) instructs ArchTracks (the processor) to process personal data on its behalf on these terms, in line with Art. 28 GDPR:

• We process the data only to provide the features the organization uses and on its documented instructions (its settings and actions in the app).
• People with access to the data are bound by confidentiality; access is limited to what support or security requires.
• Security: HTTPS, access by role, encrypted storage of connection tokens and keys, daily backups.
• Sub-processors: the hosting provider (virtual server in the EU), Google (Drive, Gmail and the Gemini API, when connected or used), Anthropic (Claude API, if configured), Telegram (notifications, if a user links it), the payment provider, and Meta and Google advertising (only in the visitor's browser and only after consent). We will announce new sub-processors on this page before using them.
• Transfers outside the EU (for example to AI providers in the USA) rely on the providers' Standard Contractual Clauses or the EU–US Data Privacy Framework.
• We help the organization answer data subject requests and will notify it without undue delay, and within 72 hours where possible, of a personal data breach that affects its data.
• When the organization stops using ArchTracks, we delete or return its data on request; backups expire within their normal cycle.
• The organization may request information needed to demonstrate compliance; write to balezdrov@gmail.com. A signed copy of these terms is available on request.

13. Children

ArchTracks is a professional tool and is not directed to children.

We may update this policy; the date above shows the latest version.

2. Какви данни събираме

• Данни за акаунта: при вход с Google или Microsoft получаваме името, имейла и идентификатора на акаунта; при вход с линк по имейл – само имейла. Може да въведете и телефон и специалности.
• Работни данни: проекти, задачи, срокове, бележки, хонорари и екипи, въведени от вас и колегите ви.
• Google Drive и Gmail (по избор, само администратор): ако администратор свърже Google акаунт (на организацията или на пощата на фирма-изпълнител), пазим токените за достъп и имейла на акаунта.
• Данни за фирми: фирми-изпълнители и клиенти (имена, ЕИК, адреси, контакти на счетоводители), въведени от администратори и ръководители, както и номера и дати на фактури и статус на плащанията по хонорарите.
• Технически данни и бисквитки: бисквитка за сесията, а темата и изборът ви за бисквитките – в локалното хранилище на браузъра. Рекламните бисквитки (Meta Pixel и Google tag) се зареждат само ако натиснете „Приемам“ в банера; по тях разбираме кои реклами носят посещения и регистрации. Ако откажете, нищо не се зарежда и сайтът работи по същия начин. Изборът се сменя по всяко време от връзката „Бисквитки“ долу на началната страница. Когато идвате от реклама или друг сайт, връзката за регистрация носи източника (например „facebook/cpc/кампания“), който пазим с акаунта, за да броим регистрациите по източник; за това не се ползва бисквитка.

3. Как използваме данните от Google

• Вход (openid, email, profile): за идентифициране и свързване с вашата организация.
• Google Drive: създаване на споделен диск и папки за всеки проект, споделянето му с екипа, преглед на файловете в папка „Документи“, четене на тези файлове при проверка на документи или при прочитане на договор, предлагане на файлове от разрешени папки за регистъра на версиите, качване на периодични резервни копия на данните на организацията в свързания Drive и преименуване по резултата от проверката. Пълният достъп е нужен, защото приложението трябва да чете и преименува файлове, качени ръчно от хората в папката на проекта. То не обхожда файлове извън дисковете на проектите, които управлява.
• Gmail – изпращане: писма от свързания акаунт при изрично действие на потребител: известия (напр. „Добавени сте към проект“) и, при „Изпрати към счетоводство“, писмо до счетоводителя на фирмата със списък на позициите за фактуриране и прикачен договор, или писмо за проверка на плащане. Не се изпраща масова или рекламна поща.
• Gmail – четене (по избор): ако администратор свърже пощата на фирма с това разрешение, приложението търси само писма от адресите на счетоводството, въведени за фирмата (последните 60 дни), и ги чете, включително PDF или изображения в прикачени файлове, за да извлече номер и дата на фактура и потвърждения за плащане и да ги въведе в таблицата с плащания. Други писма не се отварят, копират или пазят; пазим само извлечените стойности и идентификатора на писмото, за да не се обработва повторно. Приложението не променя и не изтрива имейли.

4. Обработка с ИИ

Съдържание се изпраща към услуга за ИИ в три случая, само при действие на потребител или, за в), когато администратор е включил четенето на пощата: а) „Провери и преименувай“ (описано по-долу); б) „Попълни от договора“ – текстът на договора се обработва за цена, график на плащанията и страни; в) отговор от счетоводителя се обработва за данни за фактура и плащане. За б) и в) важат същият доставчик, условия и ограничения.

Когато упълномощен потребител натисне „Провери и преименувай“ в таба „Документи“, съдържанието на файловете в папка „Документи“ на проекта се изпраща към услуга за изкуствен интелект (Google Gemini API или Anthropic Claude API) за разпознаване на вида на документа и извличане на данни (номер, дата, имена на собственици, идентификатори на имот). Резултатът се пази в базата данни и се вижда от хората с достъп до проекта. Ползваме платените планове на тези доставчици, при условия, според които данните не се използват за обучение на техните модели. Файловете се обработват само при проверка, започната от потребител.

Другите функции с ИИ. Същите доставчици и условия важат, когато потребител сам пусне някое от тези действия: асистентът „Архи“ (въпросът и частите от проекта, които потребителят вижда), ИИ рендер и видео (каченото изображение или изгледът от Revit и избраните настройки), обяснителната записка (данните на проекта и, ако администратор е избрал папка в Drive, текстът на предишните записки на организацията като образци), проверката на чертежите (изображения на листовете и данни от модела в Revit), попълването на оферти и договори и чатът в добавката за Revit (въпросът, прикачените файлове и данните от модела, нужни за отговора). Готовите изображения, записки и проверки се пазят на нашия сървър и, където е описано в приложението, в Google Drive на проекта. Всяко ползване се записва (кой, кога, коя функция, колко кредита) за таксуването.

5. Ограничена употреба

Използването и предаването на информация, получена от Google API, спазва Политиката на Google API Services за потребителски данни, включително изискванията за ограничена употреба: данните се ползват само за описаните функции; не се предават на трети лица освен при нужда за тези функции (анализа по т. 4), по закон или при сливане/продажба с уведомление; не се ползват за реклама; хора не ги четат без ваше съгласие, освен за сигурност, поддръжка по ваша заявка или по закон; не се използват за разработване или обучение на общи модели на изкуствен интелект.

6. Споделяне

При въвеждане на ЕИК приложението изпраща само този номер към публичната система на ЕС за ДДС (VIES), за да попълни името и адреса на фирмата.

Не продаваме лични данни. Данните се виждат вътре в приложението от членовете на вашата организация според ролите им. Обработват се от хостинг доставчика ни (виртуален сървър в Европейския съюз) и, за анализа на документи, от доставчика по т. 4.

7. Съхранение и срок

Данните се пазят в база данни на нашия сървър, защитени с HTTPS и контрол на достъпа. Данните на организацията се пазят, докато я ползва. Токените за Google се пазят до прекъсване на връзката от администратора. Резервните копия се пазят ограничено време.

8. Вашите права и изтриване

• Администраторът може да прекъсне връзката с Google Drive от „Настройки“; токените се изтриват.
• Всеки потребител може да изтрие акаунта си сам от „Моят профил“ → „Изтриване на акаунта“. Личните данни (име, имейл, телефон, връзка с Google, Telegram и др.) се премахват, достъпът до организациите и до Google Drive се оттегля, а в историята остава само обезличен запис.
• Можете да отмените достъпа на ArchTracks от myaccount.google.com/permissions.
• За достъп, корекция или изтриване на лични данни или на данните на организация пишете на balezdrov@gmail.com. Отговаряме до 30 дни.

9. Добавката за Revit

Добавката ArchTracks за Autodesk Revit се свързва с акаунта ви чрез личен ключ, пазен на компютъра ви. Тя изпраща към сървъра само това, което потребител пусне: количества и спецификации от модела, изображения на листове за проверка, изглед за рендер, семейства, качени в библиотеката, и съобщения в чата. Добавката проверява за обновяване; не изпраща файлове от компютъра ви, които не сте избрали.

10. Плащания

Плащанията с карта за планове и кредити се обработват от доставчика, показан при плащането (Stripe или Lemon Squeezy). Не получаваме и не пазим номера на карти; пазим плана, сумата, датата, състоянието и номера на плащането при доставчика. При банков превод (Revolut) пазим сумата, датата и основанието.

11. Роли по GDPR, основание и вашите права

• Обработващ за вашата организация. За данните на проектите, клиентите и екипа, които организацията въвежда, администратор на данните е организацията, а ArchTracks е обработващ по условията за обработване по-долу. За данните за акаунта, сигурността и плащанията администратор е ArchTracks.
• Основание. Изпълнение на договора (предоставяне на услугата), законен интерес (сигурност, предотвратяване на злоупотреби, резервни копия) и законови задължения (счетоводни записи за плащанията).
• Вашите права. Достъп, корекция, изтриване, ограничаване, възражение и преносимост (износ на данните на организацията при поискване). Можете да подадете жалба и до Комисията за защита на личните данни (cpdp.bg).

12. Условия за обработване на данни (за организации)

Като ползва ArchTracks за проектите си, организацията (администратор) възлага на ArchTracks (обработващ) да обработва лични данни от нейно име при тези условия, съгласно чл. 28 от GDPR:

• Обработваме данните само за функциите, които организацията ползва, и по нейни документирани указания (настройките и действията ѝ в приложението).
• Хората с достъп до данните са задължени да пазят поверителност; достъпът е само колкото изискват поддръжката или сигурността.
• Сигурност: HTTPS, достъп по роли, шифровано пазене на ключовете за връзки, ежедневни резервни копия.
• Подизпълнители: хостинг доставчикът (виртуален сървър в ЕС), Google (Drive, Gmail и Gemini API, когато са свързани или ползвани), Anthropic (Claude API, ако е включен), Telegram (известия, ако потребител го свърже), доставчикът на плащания и рекламите на Meta и Google (само в браузъра на посетителя и само след съгласие). Нови подизпълнители обявяваме на тази страница, преди да ги ползваме.
• Предаване извън ЕС (например към доставчиците на ИИ в САЩ) – по стандартните договорни клаузи на доставчиците или Рамката за защита на данните ЕС–САЩ.
• Помагаме на организацията да отговаря на искания на субектите на данни и я уведомяваме без излишно забавяне, по възможност до 72 часа, за нарушение на сигурността, което засяга нейните данни.
• Когато организацията спре да ползва ArchTracks, изтриваме или връщаме данните ѝ при поискване; резервните копия изтичат по обичайния си цикъл.
• Организацията може да поиска сведения, нужни да докаже съответствие; пишете на balezdrov@gmail.com. Подписано копие на тези условия се предоставя при поискване.

13. Деца

ArchTracks е професионален инструмент и не е предназначен за деца.
